Responsibilities:

Provides reception, administrative and secretarial support to staff in St. Paul Office

Responsibilities

  • Professionally administer all incoming calls, determine purpose of callers and forward to appropriate personnel or program. Maintain general voicemail account.
  • Promptly process requests for information and materials.
  • Process incoming and outgoing mail and shipments.
  • Maintain inventory of office supplies/materials and order as necessary, completing invoice process/reconciliations with the Accounting Department.
  • Maintain office equipment such as copier and postage meter, completing monthly reconciliations with the Accounting Department.
  • Maintain task room.
  • Maintain office/conference room calendars.
  • Process memorial donations and contributions and create acknowledgements.
  • Complete weekly bank deposit and execute money-handling procedures as requested by the Accounting Department and management.
  • Assist, as needed, with preparation for meetings and events.
  • Utilize ROI and Convio to enter and maintain records for mission activities including: Freedom from Smoking®, Asthma Camp, Better Breathers Club®, Healthy Lung Expo and professional education events.
  • Coordinate supplies and provide administrative support for mission activities including: Freedom from Smoking®, Asthma Camp, Better Breathers Club®, Healthy Lung Expo and professional education events.
  • Support activities and events as needed, including assisting on-site when necessary.
  • Other duties as assigned by management.

Qualifications:

Education and Experience Required:

  • Prior customer service experience including telephone handling skills
  • Excellent communication skills to effectively communicate with co-workers, professionals and general public
  • Excellent time management and organizational skills
  • Proficient with Microsoft Office programs and general computer skills
  • Data entry experience
  • Knowledge of teamwork/internal partnerships
  • Initiative, versatility and self-management

Other Requirements:

  • Abstain from use of tobacco in any form
  • Ability to work occasional evenings and weekends on an as needed basis
  • Ability to carry 25 lb.
