Summary:

The American Lung Association in California has offices throughout the state, which provide programs and services, promote local lung health issues, and coordinate fundraising efforts. We are the only organization in California that helps people and communities improve lung health while working to create public policies that attack the causes of lung disease. We are looking for a Staff Accountant to join our Finance & Administration Department in our Oakland office. 
 
POSITION TITLE: Staff Accountant 
FTE: 1.0 (37.5 hrs/week) 
SALARY: Salary commensurate with experience, plus full benefits package 
 
Job Summary: 
 
Apply accounting principles to analyze financial information to properly reconcile, forecast, and assist with month end, The Staff Accountant is responsible for preparing and coding check vouchers for all offices throughout the state. The Staff Accountant also codes all statewide deposits, maintains accurate vendor files

Responsibilities:

Essential Functions: 
  • Under the direction of the Controller, provides accurate and timely coding of check vouchers and deposits for all offices throughout the state. Responsible for ensuring that expenses and revenues are accurately entered into organization’s accounting software system. 
  • Ensures that expenses are within the approved budget prior to coding. 
  • Review, investigate, and correct errors and inconsistencies in financial entries, documents, and reports 
  • Serves as contact between finance department and field offices. Runs reports from accounting software as requested, post them on statewide drive for offices review and responds to inquiries regarding coding of expenses and revenues on detailed budget line items. 
  • Responds to inquiries from staff and/or vendors regarding the status of payments or deposits. 
  • Establishes and maintains accurate vendor files, including securing W-9 information for all new vendors. 
  • Perform month end reconciliation and prepares invoices for grants. 
  • Assist in the month end, quarter-end and year-end closing processes, ensuring transactions are in accordance with GAAP and internal policies and procedures are followed. Prepares and posts journal entries. 
  • Prepares supporting documentation for external audits and interacts with external auditors as needed 
  • Performs HR responsibilities: job postings, sorting all resumes and stores them on the O drive, drafts new hire letters, performs employee orientation, contacts Help desk to create Citrix accounts for new hires and when an employee leaves, ensures that their emails are properly forwarded to the correct person via communicating with their direct supervisor 
  • Enters new hires in ADP TotalSource, creates employee e-files on the O drive and ensures the originals are files in the HR files

Qualifications:

Knowledge, Skill and Experience: 
  • Minimum Education (or substitute experience) required: Bachelor’s degree or equivalent 
  • Minimum Experience required: Three years progressively responsible experience in accounting 
  • Good analytical skills 
  • Knowledge of applicable laws, codes and regulations 
  • Previous experience with Sage MIP would be a plus 
  • Proficient knowledge of Microsoft Office is required 
  • Excellent written and verbal communications skills 
  • Ability to manage multiple tasks, flexibility, and time management 
  • Able to work with a minimum of supervision while understanding the necessity for communicating and coordinating work efforts with other employees and external contacts
