PT Office/Special Events Assistant-

POSITION SUMMARY:  

The Office/Special Event Assistant is a part-time non-exempt position responsible for varied clerical work such as reception, database input, file maintenance and respond to inquiries for the general office and assisting with the execution of the annual fundraising events in the Tucson office.  The responsibilities center on ensuring the office is effective and works efficiently and include answering of incoming telephone lines.  As first point of contact with donors, volunteers, vendors and more, a courteous and professional manner is expected and required.  The responsibilities are varied, but include administrative and event support.  Some evening and weekend hours required. 

ESSENTIAL FUNCTIONS:

1. Greet and welcome visitors to the ALA and direct them to the appropriate person and/or office area.

2. Assist with organizing, and implementing the annual Walk and other events assigned by Executive Director.

Communicate event and fundraising details to participants

Recruit participants through community events, corporate calls, and social media.

Spearhead the volunteer recruitment and coordination of events

Work with Executive Director to cultivate new in-kind and cash corporate partners. 

Solicit and secure in-kind donations and silent auction items (based on event needs) 

Assist with event marketing and logistic needs

Attend all special events and planning committee meetings.

3. General

Work collaboratively with other staff 

Answer phones on all incoming lines and field calls, take messages as needed, and maintain daily operation of voice mail system, emails, and public inquiries 

Perform administrative duties including check requests, processing all donations and gifts; send acknowledgement cards and letters; send out receipts when requested

Date entry of incoming monies and preparation of deposit documentation

Orient daily office volunteers and serve as point of contact 

Participate in meetings, as appropriate

Other duties as assigned 

4. Database Management

Communications – Mailings, emails

Data entry of incoming monies

Run reports as requested

QUALIFICATIONS:

At least two years of professional fund-raising or specific administrative related experience.

Strong organizational, verbal, and written skills. 

Computer literate - proficient in Microsoft Office and Database Management.

Ability to work independently and as a valuable team member.

Ability to communicate the organization mission and convey its urgency.

Knowledge of telephone systems, copiers, computers etc.

Professional office appearance.

Bilingual skills in English/Spanish a plus

Special Working Conditions:

Some evening and weekend hours required.
